Terms and Conditions
Please read these terms carefully before using our services. By accessing or purchasing any service from POSSystem.lk, you agree to be bound by these terms.
1 Introduction
These Terms and Conditions ("Terms") govern your use of the website possystem.lk and all services provided by Applantics (Pvt) Ltd, registered in Sri Lanka ("Company", "we", "us", or "our").
By accessing our website, requesting a demo, placing an order, or using any of our software products or services, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, please discontinue use of our services immediately.
2 Services Provided
Applantics (Pvt) Ltd provides the following services under the brand POSSystem.lk:
- Point of Sale (POS) software for retail, restaurant, pharmacy, salon, and other business verticals
- Cloud-based and desktop business management systems
- ERP, inventory, employee management, and reporting solutions
- Hardware supply including barcode scanners, receipt printers, cash drawers, and fingerprint devices
- On-site installation, system configuration, and staff training
- Ongoing technical support and lifetime maintenance
- Custom software development and system customization
The scope of each engagement is defined in the proposal, quotation, or service agreement provided to you prior to commencement of work.
3 Orders and Payments
All orders and service engagements are subject to a written or electronically confirmed agreement. Payment terms are outlined in the relevant invoice or proposal.
- A deposit or advance payment may be required before work begins, as specified in your quotation.
- Remaining balances are due upon project completion or as per the agreed milestone schedule.
- Overdue payments may result in suspension of services, support, or access to software.
- We reserve the right to revise pricing with prior notice for renewals or new orders.
All prices are quoted in Sri Lankan Rupees (LKR) unless otherwise stated, and are exclusive of applicable taxes.
4 Refund Policy
We understand that circumstances can change. For situations where work is cancelled or discontinued before full deployment, refunds — if applicable — will be calculated and processed based on the percentage of work completed by our team at the time of cancellation. The following table illustrates how refunds are assessed:

Refund requests must be submitted in writing to contact@possystem.lk within 7 days of the decision to cancel. Approved refunds will be processed within 14–21 business days via the original payment method.
No refunds are applicable for hardware, third-party licenses, domain names, hosting subscriptions, or any services explicitly marked as non-refundable in your agreement.
5 Intellectual Property
All software, source code, designs, documentation, and content developed by Applantics (Pvt) Ltd remain the exclusive intellectual property of the Company unless a separate written agreement transfers ownership to the client.
- Clients are granted a non-exclusive, non-transferable license to use the delivered software for their own business operations.
- You may not copy, resell, sublicense, reverse-engineer, or distribute our software without prior written consent.
- Custom developments commissioned by a client remain the property of Applantics unless explicitly stated otherwise in a signed agreement.
6 Client Responsibilities
To ensure successful delivery of our services, you agree to:
- Provide accurate and complete business information, requirements, and access necessary for system setup.
- Ensure that the hardware, internet connectivity, and infrastructure at your premises meet the minimum requirements specified by our team.
- Assign a responsible point of contact for timely communication, approvals, and decision-making.
- Not misuse the software for any illegal, fraudulent, or unauthorized activities.
- Keep your account credentials secure and not share access with unauthorized individuals.
7 Support and Maintenance
We provide lifetime maintenance and support for all systems deployed by Applantics (Pvt) Ltd, subject to the following:
- Support is provided during business hours (Monday–Friday, 9:00 AM – 6:00 PM) via phone, WhatsApp, or email.
- Emergency support may be available outside business hours at our discretion.
- Support covers software bugs, updates, and usage guidance. It does not cover issues caused by third-party modifications, hardware failures, or misuse.
- On-site visits may incur additional charges depending on location and nature of the issue.
8 Limitation of Liability
To the maximum extent permitted by applicable law, Applantics (Pvt) Ltd shall not be liable for:
- Any indirect, incidental, consequential, or special damages arising from the use or inability to use our services.
- Loss of business data, revenue, or profits caused by system downtime, hardware failure, or third-party service interruptions.
- Inaccuracies in reports or data resulting from incorrect information entered by the client or their staff.
Our total liability to you for any claim shall not exceed the amount you paid for the specific service giving rise to the claim.
9 Confidentiality
Both parties agree to keep confidential any proprietary or sensitive information shared during the course of the engagement, including business data, pricing, and technical specifications. This obligation survives termination of the agreement.
10 Termination
We reserve the right to suspend or terminate services with written notice if:
- Payment obligations are not met within the agreed timeframe.
- The client violates any of these Terms.
- The client engages in conduct that is harmful, abusive, or fraudulent.
Upon termination, your license to use our software may be revoked. Any amounts owed remain payable in full.
11 Governing Law
These Terms are governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
12 Changes to These Terms
We may update these Terms at any time. Changes will be posted on this page with an updated effective date. Continued use of our services after changes are posted constitutes your acceptance of the revised Terms.
